Cancellation, Rescheduling, and No-Show Policy

By scheduling, you acknowledge that Body by Your Clinic has provided these policies in writing.
A card may be placed on file through a $0 authorization. The card is only charged if a fee below applies.

24–12 hours before appointment: $25 cancellation fee.

Under 12 hours: $50 cancellation fee.

No-show: $50 fee.

Late arrival: More than 30 minutes late without notice may be marked a no-show. More than 60 minutes late without notice is a no-show and will incur the $50 fee.

Fees must be paid before future appointments can be scheduled.

All fees are “reasonable fees” as permitted under Texas law (22 Tex. Admin. Code §75.11).
All new patients receive these fees and conditions in writing before any subsequent appointment is scheduled.

Consultation Policy
Your first consultation is free.
Consultation cancellations with less than 2 hours’ notice or a consultation no-show result in a $25 fee.

Card on File Authorization
By placing a card on file, you agree:
“I authorize Body by Your Clinic to securely store my card and only charge it if I cancel late or do not attend my appointment, in accordance with the cancellation and no-show fees I have received in writing.”

Prepaid Packages and Refunds
No refunds are provided for completed or partially completed services.
If you purchase a prepaid package and we cannot deliver remaining services, you are entitled to a pro-rata refund for unused portions in accordance with Texas requirements for prepaid treatment plans.
Refund requests must be submitted in writing for review within 14 business days.

Communications Policy
You may receive texts, emails, or calls for reminders, updates, or promotions.
You may opt out of marketing messages at any time.

Results and Expectations
Results vary by individual.
Outcomes depend on consistent attendance and adherence to post-care.
Results are not guaranteed if post-care is not followed.

Patient Responsibilities
Clients must provide accurate medical history and report updates, allergies, or sensitivities before treatment.

Payment Policy
Payment is due at the time of service unless otherwise arranged.
We accept cash, debit/credit cards, and approved financing.
If a fee is incurred, it may be charged to the card on file.

Safety and Consent
All treatments, risks, and alternatives are discussed before service.
Informed consent is required before any treatment begins.

Minors
Clients under 18 require a parent or legal guardian for consent and attendance.

Privacy Policy
Personal information is used only for treatment and clinic operations.
Information is not shared without consent unless required by law.
You may request access, updates, or deletion of your data.

HIPAA Privacy Consent
We may collect and use Protected Health Information (PHI) for treatment, internal documentation, administrative purposes, and payment processing.
You have the right to access your PHI and may revoke consent in writing.

Do I need a consultation before booking a treatment?

Yes, we require a consultation before certain treatments to ensure you receive the best possible care and results. However, if we’ve already spoken with you or had a brief phone discussion that covers all necessary details, this may suffice.

Do you offer financing or payment plans?

Yes! We offer financing through Cherry and CareCredit. Additionally, we provide an in-house payment plan for select packages. This allows patients to split their payments over multiple sessions (e.g., paying per visit for a package of six treatments). Not all packages qualify, so please ask us for details.

How long do treatments take?

Treatment times vary depending on the number of areas treated and whether multiple services are combined. On average, clients spend about 1 hour to 1 hour and 30 minutes at our medspa. If you’re on a tight schedule and prefer a quicker appointment, let us know, and we’ll accommodate you as best as possible.

How often should I schedule maintenance treatments?

It depends on your goals! Some clients continue treatments for enhanced results, while others maintain their outcomes with periodic sessions. During your consultation, we’ll recommend a personalized maintenance plan tailored to your needs and the specific treatment you receive.

Do your treatments require pre- or post-care instructions?

Yes, some treatments have specific pre-treatment and post-treatment care recommendations. If applicable, we will text or email you the instructions. Treatments like RF microneedling always include required aftercare, while others may have optional recommendations. If you’d like guidance, just ask!

Do you offer packages or memberships?

We offer treatment packages that help you save while achieving your desired results. While we don’t have a membership program, we do offer monthly subscriptions for select services. Not all treatments qualify, so feel free to ask for more details.
